Exchange will usually need extra software to make the complete solution. There is a vast array of add-ons for Exchange server to extend its functionality. Below is a list of the most commonly requested.

Anti-virus software must be a key part of any Exchange server installation. Threats from email bourne viruses are constant and a well designed anti-virus strategy would include AV software on the email server, desktops and file servers, preferably from different vendors to increase the chance of detection and eradication. Many firms will even have a separate email anti-virus firewall between the Exchange server and the Internet to try and reduce further the risk of virus attack. We have experience of all the leading anti-virus software and solutions.
Email content checking (for example for the presence Mpegs, AVIs, or malicious code ) can be another customer requirement. Frequently companies wish to or have to guard against the transfer of inappropriate material within the enterprise. Or the monitoring and suppression of confidential information may be important. We have installed and configured a range of this software, including GFi MailSecurity and Mailsweeper, part of the Mimesweeper range of products.

How do you add disclaimers to Exchange? It does not offer the addition of disclaimers out of the box - third party software will be necessary, or in the case of Exchange 5.5 a dll can be used which can be obtained from Microsoft. There are several vendors who offer disclaimer software. We can advise you which one will be the most appropriate for your needs depending on your requirements. Adding a disclaimer to Exchange is becoming increasingly important - many companies have to use disclaimers.

  • Disclaimers that will differ depending on user location, department or even down to individual user?
  • Disclaimers including graphics, formatted HTML?

Fax Servers

Email still hasn't done away completely for the need of a fax, but fax can be completely integrated with email. There are numerous fax solutions designed to work with Exchange and we have worked with the leading fax server solutions, including GFI FAXmaker for Exchange, Esker Fax for Exchange, Faxination for MS Exchange and RightFax. These products have been implemented as pure Exchange connectors. We are a GFI reseller and can supply, install and support GFI FAXMaker.
There any many other useful Exchange server additions not covered in the other sections. From an Outlook Web Access spellchecker (often requested functionality) to specialised Exchange recovery software.

A group of six critical services are monitored (using the built-in monitoring in Exchange 2000 onwards). These six critical services are:

  • Exchange Information Store - manages Microsoft Exchange Information Storage
  • Exchange MTA Stacks - provides Microsoft Exchange X.400 services
  • Exchange Routing Engine - processes Microsoft Exchange routing information
  • Exchange System Attendant - provides system related services for Microsoft Exchange
  • Simple Mail Transfer Protocol (SMTP) - transports electronic mail across the network
  • World Wide Web Publishing Service

Exchange can also monitor some other critical items that include:

  • Available virtual memory - the percentage of virtual memory that is presently available
  • CPU utilization - the percentage of CPU time that is presently in use
  • Free disk space - the amount of disk space in megabytes (MB) that is available for use
  • SMTP queue growth - the number of minutes that the current queue has grown continuously
  • Windows 2000 service - various services running on the Exchange server
  • X.400 queue growth - the number of minutes that the current queue has grown continuously.

Exchange can be configured to alert when services stop or pre-defined thresholds are breached.

Many companies require more complicated monitoring software which can also record data, produce detailed alerts and are almost infinitely configurable in terms of alerting criteria. The two best known are from NetIQ (Appmanager for Exchange) and Microsoft (MOM). We can help you with these.

Many companies require detailed email performance metrics to evaluate the performance of their email system and know exactly how much email they are sending and receiving. They require full metrics on all messaging traffic, server availability and information store contents statistics - this is not easy without third party software. There are two products that we recommend and have experience of - NetIQ Appanalyzer for Exchange and Hypersoft's Omnianalyser. They are both heavyweight email monitoring software, with specific versions for Microsoft Exchange. Typical applications are:-
  • Complete mail statistics and estimation of usage trends
  • Monitoring of end to end mail delivery
  • Monitoring Service Level Agreement compliance
  • Evaluation of server/service performance
  • Capacity planning
  • Searching for prohibited email or content
A "spam" e-mail is generally defined as an unsolicited mailing, usually to many people. Spam e-mailers have become a separate part of the Internet, with their own host computers, methods, and politics.

It is essential that any Exchange server connected to the Internet is properly configured so it will not allow spammers to use it as a relay server to send messages.

To stop incoming spam, third party software will usually be necessary as Exchange has limited abilities to stop it. There are numerous anti-spam software developers. We can help you choose the right one for your environment and quickly get it up and running.
